Scheduled Checks If you require your users to complete reoccurring checks on a specific day (or days) of the week, or month, by a specific time, or in a specific month (or months), you can set up a schedule for the checklist. |
To access the checklist scheduler settings, navigate to IntouchCheck.
- Click on Manage Checklists in the navigation menu to go to the Checklists page
- Click on the checklist to open the form input screen
- In the form input interface, click on the settings icon
- Click on Scheduler
The following options are available in the Scheduler Settings for a checklist:
| Enable Scheduler: |
Toggle this setting to set up a schedule for your checklist. Please note: When disabling a checklist, it's necessary to disable the scheduler feature beforehand. Kindly disable your scheduler, save the modifications, and publish them. Afterward, revisit the checklist to finalize the disabling process. |
| Select a group to be notified when ready: | If checkers (or other users) should receive a notification when a scheduled check is ready to start, specify the user group(s) that should be notified. |
| Select a group to be notified when overdue: |
If checkers (or other users) should receive a notification when a scheduled check is overdue, specify the user group(s) that should be notified. If you have set a value in the Latest Submission field, users will receive two notifications:
|
| Week Days Required: | If the audits should be completed on a specific day or days of the week, set this using the Week Days Required. Select Any if it is a daily check, or it doesn't matter what day it falls on. E.g. Audits will be completed on the 15th of the month. |
| Time Due: | You must indicate the time checks are due by selecting a value for the Time Due. Hour values are based on a 24-hour clock, and the value 0 represents 12:00 AM/midnight. For example, if the check is due by 4:00 PM, you would select 16. By default, the Time Due is set to 10:00 PM. You may select multiple times, this would indicate the checklist is to be performed more than once in a day. |
| Month Days Due: | If your check must be completed on a specific day or days of the month, set this using the Month Days Due. For example, you might select 15 and Last if the check must be completed twice each month. Leave the default setting of Any if there are not a Month Days Due required. |
| Month Due: | If the check must be completed in a specific month or months, set this using the Month Due. For example, a semi-annual check might be required in January and July, or a quarterly check might be required in January, April, July, and October. Leave the default setting of Any if there is not a Month Due required. |
| Time Zone: |
If you select a specific Time Zone, your scheduled checks will be associated with that time zone for all locations. This means that some locations could have checks completed earlier or later in the day than others. To select a time zone in North America, type America into the field, and select the appropriate option. Location time zones are automatically set based on the address information you enter when you add a location node to your hierarchy. |
| Earliest Start: |
You can specify the Earliest Start time that scheduled checks can be started. For example, if users have two days to complete the check prior to the due date, you would set this to 48 hours, or 2 days. Checks must be started before the due date/time has passed. |
| Latest Submission: |
If you want users to be able to submit a check after the due date/time has passed, set the number of minutes, hours, or days allowed using the Latest Submission. Only checks that were started prior to the due date/time can be submitted late. |
When you have applied all required settings, click on Save.
